How To Write a Thank You Letter From a Group
Writing a thank you letter is common courtesy. Too often people are in a rush and they say thank you without taking the time to follow it up with a letter. A letter – rather than verbal thanks or an email – indicates that you are serious about thanking someone for the time they took with your group or for a service they performed for your organization. There are all sorts of reasons to write thank you letter for a group of people – someone takes you on a tour, speaks at the meeting or gives money to buy new uniforms – and acknowledging your group’s appreciation builds good relationships. And the sooner you send your thank you letter the better.
Adopt a sincere tone for your group’s thank you letter.
Write your thank you letter on letterhead if you have it. If your organization or group doesn’t have letterhead, type in the address, the date and the inside address. The inside address is the same as the one on the envelop.
Address the letter the person who helped you. If, for instance, a foreman took your class on a tour of the local factory that makes cookies, address it to him. Be sure to spell his name right.
Begin the letter with a salutation and the person’s title and name followed by a comma. For example, “Dear Mr. Hughes,”. If, for some reason, you have never met the person and aren’t sure of gender, use both names, such as “Dear Chris Davies,”.
Indicate which group or organization you are representing. Use the phrase “On behalf of – the name of your group – I would like to thank you for . . .” You may want to mention the date your group visited.
Stress how much the group enjoyed the lecture or the film. Include specific remarks of comments. Sentences along the line of “Jesse Stevens said she has never attended a better concert” indicate personal interest and appreciation.
Finish the letter by reiterating your group’s thanks. If it is appropriate, indicate that your group would like to reciprocate. For instance, if families in one town put up sports players say that your little league group would like to offer the same service next year when the tournament is held in your city.
End with a thank-you closing, such as “Sincerely” or “Cordially.” Leave three or four spaces for a signature and then type your name and the name of your group under it.
Type in the names of anyone else the thank you letter is going to be copied to. Sometimes thank you letter are sent to supervisors to let them know you appreciate what someone in their organization has done. Suppose, for instance, that the guide in the local museum went out of her way to provide a good tour for your group. You could write to her on behalf of your group and copy it to the director of the museum.
